Cybersecurity Basics Every Small Business Team Should Know

Small businesses are frequent targets for cybercriminals because they often have valuable data but fewer defenses. The good news: most attacks rely on simple tricks, and a well-informed team can stop many of them.

Here are the essential habits every team member should know.

1. Learn to spot phishing

Phishing emails and messages pretend to be from a trusted company, bank or colleague to trick you into clicking a link, opening an attachment or sharing information. Warning signs include:

  • Urgent or threatening language, such as “your account will be closed today”.
  • Sender addresses or links that look slightly wrong.
  • Unexpected attachments or requests for passwords and payments.

When in doubt, verify the request through a different channel, such as calling the person on a known number.

2. Use strong passwords and turn on multi-factor authentication

Use a unique, long password for every important account, and store them in a password manager. Turn on multi-factor authentication (a code on your phone or an app) for email, banking and business tools. It blocks most account takeovers even if a password is stolen.

3. Keep devices and software updated

Updates fix security holes that attackers actively exploit. Enable automatic updates on computers, phones, browsers and business software, and replace devices that no longer receive updates.

4. Be careful with Wi-Fi and devices

  • Avoid accessing sensitive accounts on public Wi-Fi without protection.
  • Lock your screen when you step away.
  • Do not plug in unknown USB drives.

5. Protect and back up your data

Share files only with people who need them, and keep regular backups of important data, stored separately from your main systems. Backups are your best defense against ransomware and accidental loss.

6. Report problems quickly

If you click a suspicious link or notice something unusual, report it immediately. Quick reporting turns a potential disaster into a small, manageable issue. A good security culture rewards people for speaking up.
